A 2026 benchmark report from Blazeo reveals that 74% of service-based companies fail to contact potential clients within the critical five-minute window following an inquiry. The study of 573 businesses highlights a systemic disconnect between organizational goals and the actual speed of client engagement across modern digital channels.

The research, which spans industries including financial services, real estate, and healthcare, suggests that most organizations still rely on manual processes designed for delayed follow-up. This legacy approach struggles to keep pace with modern buyer behavior, as consumers frequently contact multiple providers in rapid succession, leaving slower firms at a distinct competitive disadvantage.

Even among leadership, awareness of the issue remains inconsistent. While 35.4% of surveyed executives identify a five-minute response as essential, nearly 38% of those companies fail to meet their own standard. Ashhad Syed, CEO of Blazeo, attributes this gap to technical and operational deficiencies rather than a lack of staff motivation. He noted that businesses often lack the necessary coverage, handoff procedures, and integrated systems to manage leads arriving across disparate channels at all hours. The report categorizes the top 25% of performers as elite responders, while the majority continue to struggle with fragmented inboxes and insufficient visibility into their own response times.
